RULES THAT STAY – PM’s NAVIGATOR
Every decision should have a file. Every file should be signed or approved. The shorter the decision trail, the fewer misunderstandings. Create a rule: every technical, material, or functional decision has its place. This helps PMs avoid “black boxes” of knowledge and makes it easy to find the source of any decision.
Links are like maps – without clear links to the context, your documents are a maze. A good PM is a guide, not just someone who stores files. Each document should explain what it is connected to, what it refers to, and what step comes next. It’s like navigation in a scrum team – without a backlog, no one knows where they are or where they are going.
Turn each sprint into a document – after each cycle, leave a note. Not a report to impress others, but a real summary: what worked, what changed, what we should repeat. A sprint without notes means no lessons learned – and PE is a technology that grows with every step.
Test from the outside – if someone new can understand your folder, you’re doing it right. Ask a new team member or another PM to open your project folder. If they understand what happened, what decisions were made and why – your documentation is working. If not, it’s time to simplify, rename, and add comments
DOCUMENTATION TOOLBOX – START USING IT TOMORROW
- 📁 Give each file context, not just a name – for example, “Project_X_phase2_silver_ink_variantB_approved.pdf”.
- 🔄 Use tools that save versions and history – like Confluence, Git, or Google Workspace.
- 🧵 Create a “document thread” – a clear chain of related files (test – result – decision – implementation).
- 💬 Don’t be afraid to leave technical notes – it’s better to write a short “why” than to forget it later.
